As the Accounts Payable Specialist, you’ll oversee two AP Officers to ensure that all invoices are reconciled, approved, recorded and processed on a timely and precise manner. As your team is focused on a specific business unit, you will often interact with the local procurement/AP team of the business unit to understand challenges that may become apparent during the invoice processing to payment cycle, figure out a solution and importanlty liaise with the relevant 3rd party vendors to resolve.

You’ll also work closely together with the AP Team Lead, other areas of the Finance and Supply Chain departments, and the greater GrandVision organization.

Responsibilities

  • Responsible to register PO (purchase order) invoices, ensuring invoices are approved via a 3-way match (PO, Goods Receipt, Invoice).
  • Responsible for timely processing the invoices (PO being glasses, frames, sunglasses, accessories etc), Freight, RFH (edging and mountain) and prepare them for payment.
  • Timely prepare the payment batches to be reviewed and perform all necessary checks.
  • Responsible for supplier account management, proactively liaising with suppliers or other stakeholder to manage, investigate and periodically perform vendor’s statement reconciliation and fix all findings by registering the invoice and credit notes.
  • Responsible for validating, creating/changing Vendor Master Data through SAP approval flow.
  • Monitor and explain late payments and missing early payment discount.
  • Support AP Team in operational day-by-day questions such as SAP technical support, how to book invoices, generate batches, deal with larger invoices, etc.
  • Attend Missing GR meeting with Opcos/RFH seeking for solution on late payment and missing early payment discount. Support weekly, monthly and yearly AP KPI by explaining differences and acting on the findings to improve the cluster.
  • Manage open items report including aging and balance of invoices in Kofax, Basware and SAP.
  • Suggest and support the implementation of improvements in the cluster
  • Train new AP team members and continue to coach & develop the AP officers in the team.
  • Responsible for half and year end evaluation of AP Officers and participate in the evaluation meetings.
  • Take administrative responsibilities of the AP Officers in the team (Leave and Expense approval).
  • Support internal and external Auditing by providing all requested documents, reconciliations, detailed level explanations, and anticipating issues looking ways to mitigate the risks.
  • Ad-hoc support and activities for financial subjects.

Key skills, knowledge and experience

  • HBO degree preferable in finance.
  • 2/3 year experience as a AP Junior or similar activities.
  • Knowledge of SAP (Plus).
  • Knowledge of Basware, Kofax, Power BI (Plus).
  • knowledge of Excel.
  • Experience in retail industry is preferred.
  • Experience with 3-way match invoice processing (goods or service) is preferable.

Benefits/Terms

Contract: In line with common market practice a 1-year (/ fixed-term) contract will be offered with a view to extend.

Workplace type: Hybrid. We offer the option to continue working 2 days at home and 3 days at the office with a working from home bundle incl. chair and screen etc. provided to support this.
