As Executive Assistant to the VP of HR, you will be part of the company’s People & Culture Function which is transforming from a highly decentralised to a global operating model. The VP of HR is driving this transformation, as well as being responsible for all global HR processes which will create a multitude of different local and global projects you as Executive Assistant will be able to support with.

Responsibilities

  • Complex diary management, including organising meetings and events. These could be internally and externally, and locally and internationally.
  • Reviewing and managing all incoming emails, screening all enquiries and requests, handling them when appropriate and corresponding on behalf of the VP of HR. This could include following up any required actions, in particular supporting the VP of HR to plan for and manage all deadlines.
  • Having frequent contact with existing external suppliers and vendors for HR services & contracts and with P&C Leaders in various geographies and operating companies.
  • Co-ordinating and organizing travel arrangements (including hotel, flights, required visas, transfers, etc.), including prepare any necessary expense declarations
  • Providing occasional support to several of the VP of HR’s direct reports, such as supporting the talent team with planning talent reviews for senior management, supporting the reward team with planning kick off calls for all remuneration processes for senior management, etc
  • Previewing all invoices for the VP of HR’s authorisation and sign off
  • Managing the internal purchase process (Sign Off Sheets) for GVHQ P&C team
  • Co-ordinating all preparation required for internal communications withing the global P&C function and pro-actively managing the annual communications calendar for P&C. This includes recurring global communications events and GVHQ P&C team events.
  • Facilitating the preparation and distribution of internal announcements for senior management on behalf of VP of HR.
  • Working with the team of executive assistants for the GrandVision Management team to ensure people processes are planned & executed in a timely manner by the GVMT
  • Developing a strong understanding all of GVHQ P&C processes in order to provide guidance and support to any managers or employees
  • Supporting the Head of P&C for the HQ with Works Council related matters, specifically prepare minutes of meeting regularly recurring Works Council meetings
  • Support projects as requested by the VP of HR on a PMO / Content level

Key skills, knowledge and experience

  • Previous experience as Assistant in an international environment
  • Relevant training or qualification, preferred
  • Schroevers diploma International Secretary, preferred
  • Excellent knowledge of and experienced in working with MS Office 365, including Teams & Yammer
  • Fluent level of English and Dutch, both verbal and written skills.
  • Minimum of 5 years’ experience in an international company, supporting executive level managers.
  • A Delivery focused, flexible, proactive and forward thinking, problem solver with excellent communication skills
  • Highly organized and structured, with the ability to manage multiple projects and determine the urgency of each task, and engage with stakeholders at various levels in the organisation
  • Highly discrete, gatekeeper
