The junior assistant will be part of our General Management Team, the CEO (German National), CFO (French National) and their Executive Assistant (Dutch National). The two gentlemen are detail oriented, quick thinkers and well-organized. They are supported by the Executive Assistant in all their daily activities and she runs several projects on their behalf independently and is responsible for the overall office management of the HQ at Schiphol. The CEO and CFO are frequent travellers with approximately 80% of the CEO’s time and 50 % of the CFO’s time. The junior assistant will support this team at all daily activities and stands in during the absence of the EA. You will become part of a closely working and fast acting and thinking team.

Essential Responsibilities

  • Take responsibility of complex agenda management, arranging meetings both internally and externally
  • Screen telephone calls, enquiries and requests (also by email), handling them either independently or in alignment with the EA; , following up on any required actions
  • Prepare expense claims for CEO and CFO
  • Prepare various documents, reports and presentations; prepare meeting documents and tools
  • Authorise and sign off invoices
  • Liaise between all internal and external contacts
  • Arrange telephone & Skype conference calls
  • Co-ordinate and organize travel arrangements (including hotel, flights, required visas, transfers, etc.)
  • Organizing meetings and events

Essential Requirements

  • Relevant training or qualification (Bachelor degree or higher)
  • Schoevers diploma International Secretary as a preference
  • Excellent knowledge of and experienced in working with MS Office
  • (Native) level of Dutch and English, both verbal and written skills
  • Minimum of 3 years’ experience in an international company
  • A skilled manager of complex agendas and IT tools
  • Experienced in organizing complex travel itineraries
  • Excellent communication skills, able to communicate at all levels
  • Problem solving ability, identifies solutions quickly. Highly organized, with the ability to manage multiple projects and determine the urgency of each task
  • Delivery focused and flexible
