As a Senior Accounts Payable (AP) Specialist at GrandVision, you will closely work with the AP team lead, and act as his right-hand to support other team members and spread your knowledge and expertise within the team. You will act as the team’s main contact point for questions related to systems and processes, and you will be involved in various projects to improve our business. In this role. you will not only be in direct contact with the finance team, but you will also communicate and collaborate with colleagues across different functions and at various levels.   • Responsible for producing weekly, monthly and yearly AP KPI and monitoring it according to target decision giving the explanations to support the numbers.
  • Reconcile and monitor GRNI balance (Goods Received Not Invoiced) for all cluster including Germany, UK, Exclusive Brands (EB), and etc to avoid old items without a reasonable explanation. Request the clusters to book invoices and credit notes, if necessary, in order to reduce the GRNI balance in the general ledger.
  • Generate and explain GRNI (Goods Received Not Invoiced) report and early payment discount monthly.
  • Support various projects (e.g. automatization of processes and formalizing controls) by participating in meetings, testing SAP functionalities in test environment, improve current way of working by automatizing manual transactions, and update system version (e.g. SAP and Basware) in HQ.
  • Support internal and external Auditing by providing all requested documents, reconciliations, detailed level explanations, and anticipating issues looking ways to mitigate the risks.
  • Responsible for generating open items report for the weekly AP team meeting event.
  • Responsible for approving vendor creation / change in MDG (SAP master data approval flow).
  • Actions various types of (manual) payments and transferring them to other internal systems to be further processed.
  • Reconcile all general ledger of Accounts Payables in SAP for all entities and closely monitor the aging with a reasonable explanation and solution of all open items for goods.
  • Responsible to raise RFC (request for changing) to HQ finance team.
  • Acts as backup of AP Team Leader during his absence and performs other ad-hoc support within the finance team.

Key skills, knowledge and experience

  • HBO degree preferable in finance, or equivalent working experience
  • 2/3 year experience in AP Accounting
  • Preferably, experience as assistant team lead / experience coaching other team members
  • Knowledge of SAP (Plus)
  • Knowledge of Basware, Kofax, Power BI (Plus)
  • Strong knowledge of Excel
  • Experience in retail industry is preferred
  • Experience in test environment, preferrable in SAP
  • Experience with 3-way match invoice processing (goods or service)
  • Fluent in English (written & spoken)
  • Highly adaptable to new environments and change
  • Natural ability to embrace learning and development through experience
